1) What is P&T Mailer?

P&T Mailer is a free email delivery program with a "wizard" interface that allows you to send mail to mailing lists over the Internet using the SMTP protocol. The program draws the recipient's data from an arbitrary DBase or Foxpro table you specify. Features include message customization through variable replacement, mailing list subsets, error logging and fault tolerance.

2) Installation

Unzip the distribution archive file to a temporary directory and start the setup program SETUP.EXE to install P&T Mailer. Please note that the program will only run under 32-bit Windows, i.e. Windows 95 or Windows NT.

3) License

P&T Mailer is freeware. You may install and use the P&T Mailer without any restrictions for an unlimited time and make as many copies as you want, provided that these copies are not intended for sale. For further information please refer to the LICENSE.TXT file.

4) How to use P&T Mailer

P&T Mailer provides a wizard interface that leads you through 5 different screens to prepare and send mail:

Screen 1 - Welcome to P&T Mailer

Displays the greeting message. Press NEXT to proceed to the next screen.

Screen 2 - Prepare E-Mail Message

Type the message subject and message body into the text fields of this screen. You can use the variables %N (Name), %O (Organization), %D (Dear) and %E (Emai Address) lin the message body to customize your message. While sending mail variables will be replaced with the values of the respective fields of the recipient table. %N for example is replaced with the recipient's name in the database. If you choose SAVE SETTINGS on exit, P&T Mailer will remember the message subject and body text next time you start the program.

Screen 3 - Prepare Mail Sever Settings

Enter the mail server's name or IP address into the SMTP SERVER field. Examples: 'mailserver.mycompany.com' or '192.168.1.1' This entry is required in order to make a connection to the Internet mail server.

Enter the sender's name (your name) into the SENDER'S NAME field if you want it to appear in the e-mail header. You can leave this field blank if you don't want a name to appear in the header.

Enter your organinzation's name (company) into the ORGANIZATION field if you want it to appear in the e-mail header, otherwise leave this field blank. If you want the FROM address to contain just the organization's name, but not a person's name, type the organization's name into the SENDER'S NAME field and leave the ORGANIZATION field blank.

Enter your e-mail address into the RETURN ADDRESS field. The return address appears in the FROM address of the e-mail header, hence recipients will reply to this address. The field cannot be left blank.

Enter a timeout value for your server using the TIMEOUT TRACKBAR. The value specifies the amount of time in seconds to wait for an SMTP connection. If you should experience connection problems increase the timeout value.

Enter the character position at which long lines are wrapped into the WRAP LINES AT field. Line wrapping ensures that e-mail readers without automatic warpping display the full text of the message body.

If you want to overwrite the existing error log tables, check the RESET ERROR LOG checkbox. While sending, P&T Mailer logs errors to the mail_log.dbf table in the program's directory. This log can be used later for resending mail. By default (if the RESET ERROR LOG checkbox is not checked) data is appended to the existing error log table.

Screen 4 - Prepare Recipient List

Enter the name of the DBase or FoxPro table that contains your mailing list into the RECIPIENT TABLE field. You can also click the BROWSE button to navigate to this file.

Enter the field names of the recipient table's fields storing name, organization, e-mail address and terms of address of the recipients. Only the e-mail field is mandatory, all other fields can be left blank. The drop-down lists display all available fields of the selected recipient table.

In case you want to send mail only to a subset of the recipient table, click the LIMIT SCOPE FROM REC. checkbox. You can specify a range of records by specifying lower and upper limits according to the physical sequence of records in the table. If you don't enter a valid scope, P&T Mailer displays an error message.

Screen 5 - Send Mail

Once the previous steps are completed P&T Mailer verifies your selections and displays the send mail screen. Click  the START button to begin sending. The program then connects to the SMTP server and starts sending out mail while displaying current status, progress and logging errors to the display and to the mail_log.dbf table. At the end of the process the caption changes to 'Completed'.
